Duties: The Office Assistant I provides clerical support for the Center and management. Also assists with the planning, implementation and supervision of recreational programs, activities and special events at Madison Jobe Senior Center and the Heritage Museum. This position has no direct employee supervision responsibilities. Answers and routes incoming telephone calls, respond to routine questions and action line requests. Refers calls and visitors to the appropriate areas of interest. Creates and maintains records on work orders, requisitions, memos, letters, and cash payment requests. Performs payroll administration functions and maintains payroll records including staff attendance and tardies. Responsible for maintaining accurate accounting records which include but not limited to: incoming revenue; credit card purchases; making timely deposits and maintaining a minimum balance in the petty cash account. Creates resolutions for donations and sends the information to PARD. Responsible for completing monthly reports of participants and recreation units served. Responsible for the monthly volunteer report of number of volunteers and volunteer hours utilized at the Madison Jobe Senior Center. Properly maintains equipment and storage areas in a clean and organized condition. Assists staff and volunteers with activities/special event setup, coordination and clean-up. Runs errands and attends meetings for Madison Jobe Senior Center as needed. Must have and maintain, without interruption, all necessary licenses, certifications, clearances, and/or job requirements. Works the assigned schedule and complies with the City's timekeeping and attendance policy. Other duties as assigned by the Recreation Manager. These duties may include but are not limited to: sweeping, painting, mopping, trash pickup, trash delivery to dumpster, heavy lifting, bathroom cleaning (toilets, sinks, floors, showers, walls, lockers, etc.), decorating, running errands, calling and emailing participants/families/sponsors/city employees, speaking in front of groups, stepping in where needed (volunteers, registering participants, center reports, etc.), attending marketing events and sit at a booth marketing the center, work evenings, holidays and weekends on occasion, organize supplies on a daily basis to ensure the facility is presentable, research or attend classes, etc. May be required to work Christmas Tree Lighting and Fourth of July events that are planned and implemented by the Parks and Recreation Department.

Qualifications: High School diploma or have obtained a GED equivalence. Valid Texas Driver's License with a good driving record. Must be able to drive city vehicles within three months of hire. Food Manager Certification within 6 months of hire. CPR/ First Aid within one year of hire. PREFERRED: Some college along with some clerical or secretarial experience is desirable. Prior experience working directly with seniors is desirable. Bilingual is desired due to the demographics of the neighborhood served.
